Terms & Conditions of Hire
These Terms and Conditions outline the responsibilities and obligations of clubs, schools, companies, organisations and private entities (hereinafter referred to as “the Hirer”) when hiring the Drogheda Sports Dome at Rathmullan Road, Drogheda, Co Louth (hereinafter referred to as “the Facility”). By making a booking, the Hirer agrees to comply with these Terms and Conditions.

It is the responsibility of the Hirer to ensure each individual attending or using the Facility on behalf of the Hirer complies to the terms and conditions herein and such terms are available on the Website www.droghedasportsdome.ie
1. GENERAL TERMS OF HIRE 1.1Application for Hire 1.1.1The Hirer must submit an expression of interest in writing to info@droghedasportsdome.ie to be considered by the Facility. 1.1.2The expression of interest must include details of the Hirer, activities planned, and confirmation of compliance with the Terms and Conditions. 1.1.3Drogheda Sports Dome Company Limited by Guarantee ( hereinafter ‘We’, ‘Us’, ‘Our’) reserves the right to approve or reject any expression of interest at its sole discretion. 1.1.4Once approved, the Hirer will be granted access to the official Booking App, which must be used for all bookings. 1.1.5The Hirer is not permitted to sub-let the Facility.
1.2 Booking and Payment 1.2.1All booking requests must be emailed exclusively to info@droghedasportsdome.ie. Bookings made via phone, or in person will not be accepted. 1.2.2Bookings are subject to availability and must be confirmed by US by email before use. 1.2.3To book the Facility, a contribution towards costs must be paid in advance via the Facility’s Bank Payment Link that will be issued by Us and which is nonrefundable within one week of usage 1.2.4The Facility’s Booking App requires each authorised individual assigned by the Hirer to download the App, provide their name, email, mobile number and photo to enable set up of such individual, where the Booking App will provide a unique QR access code for each authorised session. The Facility Management will use this information to ensure only authorised individuals have entry access to the Facility. 1.2.5We reserve the right in our sole discretion to cancel or amend bookings due to operational requirements or unforeseen circumstances, where refunds are paid for such cancellations. 1.2.6All bookings will adhere to the designated time slots. Each booking is reserved for a minimum of one hour. 1.2.7All slots start and end according to designated booking time slot. 1.2.8Your booking time slot includes any setting up/dismantling/removal of equipment utilised for the booking.
1.3 Authorised Personnel & Garda Vetting 1.3.1The Hirer must made available a list of authorised personnel responsible for supervising participants at each session. 1.3.2It is the Hirer’s responsibility to ensure that all authorised personnel have up-to-date Garda vetting clearance before engaging with participants. 1.3.3The Hirer is responsible for ensuring that only authorised personnel are present during their session, no parents or visitors are allowed outside the designated areas assigned for parents/guardians.
1.4 Attendance and Supervision 1.4.1The Hirer is responsible for maintaining an attendance list for each session, recording the names of all participants. 1.4.2This attendance list must be available for inspection at any time by the Facility Management or appointed personnel. 1.4.3The Hirer is responsible for the supervision and behaviour of all participants and coaches during the session. 1.4.4The Hirer is responsible for ensuring adequate coaching ratio and coaches must be qualified to use the equipment provided. 1.4.5Pets are strictly prohibited throughout the Facility.
2. HEALTH AND SAFETY 2.1General Health and Safety Rules 2.1.1The Hirer is responsible for the safety and well-being of all participants and visitors. 2.1.2All activities must be conducted in a safe manner, and participants should be supervised at all times. 2.1.3Emergency exits and access routes must be kept clear at all times. 2.1.4Smoking, vaping, alcohol and illegal substances are strictly prohibited within the Facility. 2.1.5The Hirer must comply with all fire and evacuation procedures as outlined within the Facility. 2.1.6Prior approval is required before any marketing materials can be temporarily erected by the Hirer for the duration of their booking. These materials must conform to all fire regulations and be free-standing without attachments to walls, ceilings, or floors. Defacing or taping materials to surfaces within the Facility is prohibited, and any damages will be charged to the Hirer. This includes mounting materials using adhesive tape, blue tack, or drawing pins on the doors, walls, and windows of the Facility. 2.1.7No Bikes or Scooters are permitted within the Facility.
2.2 First Aid and Emergency Procedures 2.2.1The Hirer must ensure that a qualified first aider is present during the session. 2.2.2Any accidents, injuries, or incidents must be reported to Facility Management immediately. 2.2.3The Hirer must familiarise themselves with the location of first aid stations, fire exits and emergency procedures.
2.3 Warm-Up and Training Rules 2.3.1The warm-up should take place in designated areas only.
2.4 Cleaning and Tidying Up 2.4.1No food or beverages, except for bottled water, are permitted in any playing or training area. No hot drinks are permitted in any playing or training area. 2.4.2The use of chewing gum is strictly prohibited in the facility. 2.4.3The Hirer is responsible for ensuring the Facility is left in a clean and tidy state after use. 2.4.4All equipment must be returned to its proper storage area. 2.4.5Any rubbish must be disposed of in the bins provided, no personal data to be disposed in the general bins provided. 2.4.6Additional cleaning charges may apply if the Facility is left in an unsatisfactory condition determined in the reasonable opinion of the Facility Management.
2.5 Use of Toilets 2.5.1Toilets must be kept clean and tidy. 2.5.2No personal belongings should be left unattended.
2.6 Operational Facility Rules 2.6.1Only individuals authorised by the Facility may use the Strength and Conditioning area. 2.6.2A qualified coach or trainer must always supervise Strength and Conditioning area sessions. 2.6.3Only moulded studs for astro footwear to be worn on the pitch. 2.6.4In the Strength and Conditioning area, equipment must be wiped down after use and returned to its designated place. 2.6.5In the Strength and Conditioning area, no dropping of weights or misuse of equipment is allowed. 2.6.6Failure to comply with the Facility rules may result in restricted access or a ban from the Facility by the individual user and or the Hirer. 2.6.7No videos, cameras or mobile phones, which possess photographic or videographic functions, are to be used at any time unless authorised by the Hirer, where the Hirer has obtained the necessary consents from the individuals, or their parents/guardians. 2.6.8. The Facility accepts no responsibility for videography or photography taken by any individual attending or using the Facility on behalf of the Hirer 2.6.9The Facility is not responsible for any lost or stolen personal items. 2.6.10The Hirer must ensure that no inappropriate behaviour occurs in the Facility by each individual attending or using the Facility on behalf of the Hirer.
3. INSURANCE AND INDEMNIFICATION 3.1.1All clubs, schools, companies, organisations and private entities hiring the Facility must have valid public liability insurance, as stated in Insurance Questionnaire 3.1.2The Hirer must provide a copy of their current insurance policy annually as a condition of hire. 3.1.3We reserve the right to refuse bookings if adequate insurance is not provided. 3.1.4The Hirer shall indemnify Mosney Unlimited Company (company number 11917) and Us, Drogheda Sports Dome Company Limited by Guarantee (company number 783603), against any claims arising from the Hirer’s use of the Facility and attach a copy of the Hirer’s current Insurance Certificate. 3.1.5We are not liable for any loss or damage to articles owned by users while on the premises at the Facility. 3.1.6Activities within the Facility inherently involve physical sports and activities that come with contact and risk. Therefore, the Facility cannot be held responsible for any injury, loss, or damage resulting from participation in sports, activities, or training. 3.1.7The Facility is not responsible for any loss, injury, or damage caused by the negligence, willful act, or breach of duty by each individual attending or using the Facility on behalf of the Hirer. The Hirer must ensure their own safety and that of their users.
4. DATA PROTECTION AND PRIVACY 4.1CCTV Monitoring 4.1.1CCTV is in operation 24/7 throughout the Facility for security and safety purposes. 4.1.2We are the Data Controller for all CCTV footage and is responsible for compliance with the General Data Protection Regulation (GDPR). 4.1.3CCTV footage is stored securely and may be used to monitor and safeguard the safety and security of the Facility’s employees, property, Hirer and the individual’s using the Facility on its behalf, buildings, information located or stored on the premises, and assets, and those of service providers, consultants, and advisors that assist the Facility in carrying out its functions. 4.1.4The data obtained by the CCTV system may be used to investigate potential security incidents where such are suspected, and in order to secure evidence, should such incidents occur. 4.1.5The data obtained by CCTV may also be used for the verification of disputed or unclear events. 4.1.6The data obtained by CCTV will be accessed as part of occasional audits for the purpose of maintaining security and compliance with the Facility’s policies.
4.2 Incident Reporting and Data Processing 4.2.1We process personal data as part of health and safety compliance, including accident and incident reports. 4.2.2Personal data collected in incident reports will be stored securely and shared only with relevant authorities if required.
4.3 Privacy Statement 4.3.1Our Privacy Statement outlines how personal data, including registration, CCTV footage, access controls and incident reports, is processed and stored. 4.3.2To provide our service we will collect personal information as a data controller, this data is subject to our Privacy Statement on www.droghedasportsdome.ie 4.3.3It is the responsibility of the hirer to provide all users with access to Our Privacy Statement on www.droghedasportsdome.ie
4.4 Access Controls 4.4.1We process access controls data of authorised personal as part of health and safety compliance.
5. CANCELLATION, TERMINATION, CHARGES 5.1Cancellation by the Hirer 5.1.1Cancellations must be made in writing to info@droghedasportsdome.ie and may be subject to cancellation fees. 5.1.2No refunds will be issued for cancellations made less than 7 days before the booking date.
5.2 Cancellation or termination by the Facility 5.2.1We reserve the right to cancel any booking due to unforeseen circumstances, in which case a full refund will be provided. 5.2.2We may terminate a booking immediately if the Hirer breaches any of these terms. 5.2.3The Hirer and its users, must always treat the facility and its staff with courtesy and respect. Usage may be terminated or revoked for violation of any rules or regulations or for conduct deemed by the Hirer to be detrimental to the welfare, good order, safety, or character of the Facility.
5.3 Charges 5.3.1In the case of vandalism, inappropriate use of the facilities, or disruption to users’ enjoyment, usage may be revoked, or the Hirer may be charged, at Our discretion.
6. GOVERNING LAW 6.1These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Ireland.
7. AMENDMENTS 7.1We reserve the right to amend and add to the Policies and Rules and Hirer shall observe any amended or additional conditions or rules. By making a booking, the Hirer acknowledges that they have read, understood, and agree to abide by these Terms and Conditions.
